Overview

Coordinates all administrative components of the surgical residency program. Performs general secretarial and administrative duties such as composing and typing correspondence, authorizing routine expenditures, and maintaining departmental files. Uses discretion and judgement when screening important visitors and telephone calls, relaying confidential information, planning and organizing work load. Essential duties and responsibilities include the following. Other duties may be assigned.

Responsibilities

  • 1. Coordinates the surgical residency program.
    • 1.1 Coordinates all aspects of the educational conferences, tracks attendance and reports within established timeframes to Yale.
  • 2. Initiates, composes and types correspondence, memos and recurring reports.
    • 2.1 Initiates, composes and types correspondence, memos, etc., as observed by supervisor.
  • 3. Authorizes routine expenditures for office supplies, standard department inventory, travel, etc., and accepts receipts and invoices for non-routine expenditures for supervisor's authorization.
    • 3.1 Authorizes expenditures for office supplies, standard department inventory, travel, etc., on a routine basis as observed by supervisor.
  • 4. May assist in monitoring departmental budgets and/or accounts as assigned
    • 4.1 May assist in monitoring department budgets and accounts by gathering appropriate reports, records totaling expenditures, etc., as observed by supervisor.
  • 5. Communicates supervisor's instructions and/or desires to various individuals/departments and furnishes and obtains information from other executives or outside representatives as required.
    • 5.1 Efficiently communicates supervisor's instructions and/or desires to various individuals/departments as measured by feedback and supervisory observation.
  • 6. Recommends changes in office procedures to improve productivity and/or cost effectiveness.

  • 7. Receives and screens visitors and telephone calls for department.
    • 7.1 Greets and screens visitors in a pleasant and professional manner as measured by feedback from visitors and staff.
  • 8. Arranges meetings and conferences, schedules appointments, completes travel and conference arrangements, and maintains personal calendars.
    • 8.1 Arranges meetings and conferences for staff in accordance with established department procedures as measured by department feedback and supervisory observation.
  • 9. Receives, sorts, reviews and distributes mail.
    • 9.1 Opens incoming mail upon receipt as observed by supervisor.
  • 10. Develops, implements and maintains department record-keeping and filing systems. Handles significant volume of confidential data.
    • 10.1 Maintains departmental record-keeping and filing systems by developing and efficiently implementing coding systems as observed by supervisor.
  • 11. Operates standard office machines and equipment (e.g., calculators, word processors, photocopiers, and dictation equipment) in order to efficiently perform duties.
    • 11.1 Demonstrates user's knowledge of standard office machines and equipment as observed by supervisor.

Qualifications

EDUCATION


Currently enrolled in a Bachelor's degree in Information Systems, Health Management or related business field


EXPERIENCE


Must have prior work experience, although no directly applicable experience is required.


SPECIAL SKILLS


PC proficient with knowledge of Word and spreadsheet applications, Knowledge of medical terminology.


PHYSICAL DEMAND


MMR is required. Varivax (chicken pox vaccine) or evidence of prior chicken pox is required. Hepatitis B (or signed declination) is required for those with potential exposure to blood/body fluids. Tdap and influenza vaccination are strongly encouraged. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel or hear. Thy are frequently required to reach with hands and arms. They are frequently required to reach with hands and arms. They are also required to stand and walk. They must occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception. The noise level in the work environment is usually moderate.
